Over the years, more and more ‘technical solutions’ have become available, and my job as a designer is to help operators find the sweet spot – ensuring smart systems align with real guest needs, operational realities and long-term investment value.
Starting with the Guest, Not the Gadget
Luxury guests seek ease, comfort and intuitive surroundings – not rooms that leave them searching for manuals or calling reception for help. Any smart feature must be evaluated through the lens of the guest journey. Climate systems that adjust smoothly to maintain comfort, or lighting that transitions subtly from day to night genuinely enhance wellbeing. By contrast, overly complex bedside controls or voice-activated functions that misinterpret accents, diminish the sense of care and ease that defines true luxury. The question I ask is: does this improve the guest’s stay in a meaningful, effortless way? If it doesn’t, it may be technology for technology’s sake.
Design for Reliability and Buildability
From a project management perspective, many systems look wonderful on paper but become problematic during installation, commissioning or long-term operation. Technology that depends on obscure vendors, bespoke integrations or fragile interfaces can burden both the build process and the maintenance team for years to come. Pragmatic choices are essential. Systems should be robust, widely supported and capable of integrating seamlessly with property management and building management platforms. Just as importantly, when technology fails, as all technology occasionally does, there must be manual overrides. A room must remain usable even if a software update goes awry.
Know Where to Stop: The Value of Timeless Craftsmanship
A frequent misconception in design projects is the belief that every element can and should be connected, automated or app-controlled. This is rarely the best path to luxury. Many of the most memorable hotel experiences are defined by tactile quality: a door with a pleasing weight, a precisely engineered tap, or curtains that glide smoothly at the touch of a hand. These details communicate craftsmanship and authenticity in a way sensors and motors often cannot.
Investing in beautifully made, long-lasting fixtures is often a far more powerful and cost-effective way to elevate a room than adding layers of digital control. A well-made tap will deliver delight for decades – without software updates.
Let Technology Fade into the Background
The smartest technology is the kind the guest hardly notices. Subtle climate control that keeps the room at a perfect temperature, or lighting systems that shift gently through pre-programmed scenes, can support mood and comfort without demanding attention. The best technology enhances atmosphere, not spectacle. It acts quietly, contributing to a sense of calm and coherence rather than calling attention to itself.
Think in Lifetimes, Not Just Budgets
Capital expenditure is only the beginning of a hotel’s relationship with technology. Owners and operators must account for software licences, recurring fees, hardware replacement cycles, specialised labour and ongoing training. Many digital systems require updates every few years, while classic hardware may last decades with minimal intervention. This long-term perspective often reveals that durable physical element, high-quality fittings, joinery, hardware and materials, offer superior return on investment compared to complex tech that ages quickly or becomes obsolete. The most successful design schemes blend technological efficiency with materials chosen for longevity.
Keep the User Experience Simple and Universal
Luxury hotels welcome guests from every corner of the world, each with different expectations and degrees of digital familiarity. For technology to feel luxurious, it must feel immediately understandable. Guests should not have to download apps, navigate complex menus, or decipher cryptic icons simply to turn off a light or adjust the temperature. Simplicity is the ultimate sophistication. Clear interfaces, intuitive layouts and the availability of physical controls ensure a universally smooth stay, regardless of age, language or tech literacy. If the only way to open the curtains is electronic, then don’t hide the open/close button behind the curtain drop. If the only way to operate the AC is with a handheld control, make sure it has an obvious and intuitive place to live. It’s these details that will determine whether or not tech can enhance or detract from the guest experience.
Align the Entire Project Team from the Start
Smart technology works best when it is planned holistically. Early alignment between designers, MEP consultants, AV/IT specialists, procurement teams, contractors and the hotel operator prevents costly surprises. This collaborative approach ensures technical requirements are anticipated, budgets remain realistic and infrastructure is designed to support both present and future needs. Most importantly, it creates a cohesive guest experience where every system works smoothly together rather than feeling bolted on. If a hotel is being refurbished, think carefully whether the addition of tech is going to work as a retrofitted item. Seamless integration is key.
Luxury Is Achieved Through Considered Simplicity
Technology should support an atmosphere of comfort, ease and refinement, not compete with it. Guests remember warm light, soft textures, quiet rooms and effortlessly functioning spaces far more than the novelty of controlling curtains with their phone. The future of luxury hospitality is not driven by an arms race of features.
